4 Vodori features that your promotional review committee can use to optimize the feedback process

A common bottleneck promotional review committees face during the review process is collecting and synthesizing feedback on a piece of content. With multiple teams collaborating, short deadlines, and competing priorities, it can take multiple rounds of feedback before content is approved. These challenges are compounded if your organization uses an email or paper-based process.

One of the benefits of using a purpose-built promotional review system like Vodori is the ability to streamline communication between team members. Vodori has several features that your team can use to optimize the feedback process and improve collaboration, including: 

 

@ mentions

Reach out directly to specific team members with questions or requests using the @ mention feature. The person you mention will immediately receive a notification with your comment.

Tip: Use this to save everyone time on sifting through a bunch of comments. You can direct someone’s attention to the specific aspect you would like feedback on and minimize unnecessary back and forth. @ mentions can help speed up the feedback process so that your colleagues know exactly what they need to review and comment on.

Color-coded annotations

Differentiate your comments from your colleagues by selecting an annotation color (there are fifteen options to choose from!). Annotation colors make it easier for your team members to scan the document and see who left what feedback.

Tip: Annotation colors can be used to create a feedback system. For example, assign certain colors to different departments (e.g. blue for marketing and black for regulatory) or feedback priority (e.g., orange for urgent and gray for non-urgent). If your team follows a color-coding system, use the annotation filters to easily see all comments of a specific color.

 

Resolving comments

Job initiators or MLR coordinators are often responsible for reviewing and incorporating feedback. This process gets difficult when a document goes through multiple review circulations and continues accumulating comments. To reduce the noise, use the resolve comment feature to hide comments that have been addressed and keep the focus on the feedback that is still being discussed.

Tip: Resolved comments are hidden by default but can easily be reinstated. Use the annotation filter panel to reveal all resolved comments. We recommend resolving comments as the document progresses through review circulations so that the focus is always on the latest feedback.

Pull forward annotations

After a round of review, a new version of the piece may not incorporate all of the suggested feedback. If there are open items left to discuss, it can be helpful to see the comments that were previously left on the piece. Use the import annotation feature to place all unresolved annotations from the previous version onto the new version of the document.

Tip: This feature works best if comments addressed on the previous version were resolved. That way, only the most relevant feedback is imported into the new version.
